Understanding User Configurations

User configurations allow to determine the access to Actito applications. It is not a question of data but only of users rights.

This allows to restrict the tasks and actions that users can make in a licence. It is even possible to restrict the access to specific steps of an application.

Good to know

Users configurations are separate from entities. Let’s take a user who has the right to carry out the action “edit draft e-mails.” They have the right to edit any e-mail that they can access, independently from their entity.

But if they have access to entity A but not to entity B, they will view every e-mail stored on entity A and will therefore be able to edit them, but they will not view the e-mails stored an entity B, so they will not be able to edit them.

Standard Configurations

There exists six standard users configurations available by default.

Admin

Formerly called 'AdminUser', this configuration is reserved for licence administrators. It implies access to every application included in your licence in order to use Actito as marketing activation tool, as well as the application which allows to create users and to manage existing users. The admin is able to create new users by selecting one of the five standard user configurations, namely : Advanced user - User - Restricted user - Reviewer - Transfer box.

The admin is however not able to grant access to Actito's internal teams (Actito Support and Actito Team).

Advanced user

Formerly known as 'User', this configuration gives access to every application included in your licence in order to use Actito as marketing activation tool, but not to the user management application.

User

This configuration does not give access to every application included in your licence. Access is restricted regarding the creation and structural updates of profile and data tables, export of data, mass profile imports, the HTML module library and the management of testing groups.

Restricted User

This configuration is more restricted than "User" in the sense that it allows to create e-mail campaigns, but not to send them. Access is also restricted regarding the creation and structural updates of profile and data tables, saved targetings, export of data, mass profile imports, the HTML module library and the management of testing groups.

Reviewer

This configuration only gives access to reporting and stats, but not to the rest of applications that are not relevant to them.

Transfer box

This configuration only gives access to the transfer box of the licence in order to securely share sensitive data with these users.

Custom Configurations

If these standard configurations do not match your needs or the organization of your teams, it is possible to ask the Actito team for the creation of one or more personalized configurations.

For instance, if the licence admin wants to limit the access to specific apps for one particular category of employees or partners that will have to use the licence, they may want these users to only see the applications included in a custom configuration.

These configurations, which are tailor-made, will however not be updated automatically upon the release in production of new applications. It will be the responsibility of the licence admin to request these updates.

It is also possible to limit some specific actions within an application.

A custom configuration can be applied to several users in the licence.

tip

To ask for the creation of a new user configuration and the update of an existing custom configuration, the licence admin should discuss with their Actito contact person.

Good to know

Creating an e-mail campaign "from scratch" is automatically included for all standard configurations allowing e-mail campaign management. By requesting a custom configuration from your contact person, you can remove this right from a category of users and force them to use a campaign template.

Standard configurations for Actito internal teams

In order to be able to assist you, the Actito teams may need to connect in your licence to investigate or to act directly. For transparency concerns, all these connections are logged (to learn more, see Managing Users).

There are two standard configurations that can be used for the Actito internal teams: ActitoSupport and ActitoTeam.

They allow our teams to access your lience in case of need, all while following GDPR.

Both configurations cannot be granted by the licence admin because they are only aimed at Actito's staff. In addition, users in 'ActitoSupport' and 'ActitoTeam' configurations are not counted in the total of users of a licence.

ActitoSupport

This configuration allows members of teams carrying generic Actito support to access all the applications, excepted those allowing to export data.

ActitoTeam

This configuration allows to access all the application, expected those regarding interface user management. It allows the Actito staff to provide the dedicated support or set-up services to which you have subscribed.
